β Record employeeβs start date
β Do not accept expired documents unless specifically allowed by DHS

β Employer or authorized representative signs and dates Section 2
β Include business name, title, and employerβs address
Step 4 β Store and Maintain I-9 Records
β Store I-9s separately from personnel files
β Retain records for:
- 3 years after hire date OR
- 1 year after termination (whichever is later)

Part 1 β Reverification Checklist
(For employees with expiring work authorization)
Step 1 β Identify Who Needs Reverification
β Review Section 1 & Section 2 of the original I-9
β Check the earliest expiration date (employee-provided OR document date)
β Confirm reverification is NOT required for:
- U.S. Citizens
- Noncitizen Nationals
- Green Card holders (Form I-551)
- Employees with List B documents only

β Notify employees 90 days before expiration

β Allow employees time to obtain updated documents
Step 3 β Collect Updated Documents

Step 4 β Verify & Complete Supplement B
β Examine documents in person (or remote if DHS rules allow)
β Confirm authenticity and that they belong to the employee

β Sign and date Supplement B as the employer/authorized rep
Part 2 β Rehire Checklist
(For employees rehired within three years of their original I-9)
Step 1 β Choose Your Approach
β Option 1 β Complete a new Form I-9
β Option 2 β Use Supplement B on the existing I-9
Step 2 β Verify Authorization Status
β Review the employeeβs original I-9, Section 2, and any previous reverifications
β Confirm work authorization is still valid and documents are not expired
Step 3 β Complete Supplement B for Rehires
β Enter the rehire date
β If updated documents are required, request List A or List C documents
β Enter new document details and rehire date
